We make every effort to protect the privacy of personal data collected from contact persons of our potential, current and former customers, suppliers and partners of FERNIKO Sp. z o.o. This privacy notice explains what personal data we collect and how it is used. Please read the following information carefully.
1. Who we are
FERNIKO Sp. z o.o. is one of the largest Polish manufacturers of components for multi-page calendars, poster calendars, wall maps, notebooks and POS advertising products. We also specialise in binding services related to the production of calendars and paper stationery. Since 2009, we have continuously supplied our customers with high-quality products and services, including Zip-Wire double-loop bindings, calendar hangers, windows for three-part calendars, calendar straps, wobblers and other POS accessories.

2. What personal data we collect
We collect and process the following categories of personal data of our business partners:
- Full name, company name and job title;
- Contact information such as company address, phone numbers and email addresses;
- Business interests;
- Our communication with you;
- Tax identification number (NIP);
- Other information provided to us during conversations, emails or other interactions, if needed to perform a contract or fulfil legal obligations.
3. How we use your personal data
Your data may be processed for the following purposes:
- Execution and handling of sales of our products and services;
- Maintaining and managing contacts with the company you are associated with;
- Relationship management;
- Communication with you;
- Sending newsletters about our products, services or promotions. You may withdraw your consent to direct marketing at any time using the link included in each message or by contacting us at the address provided below.
- Statistical analysis. We use tools to conduct statistical research regarding general trends related to our products, services, and the behaviour and interests of our customers, suppliers and partners. For such analyses, we may combine and analyse different categories of data. Only aggregated data is used; we do not use names, email addresses or any data enabling direct identification.
- Compliance with legal obligations, including mandatory disclosures.
We process personal data based on your consent, to fulfil our legal obligations, or on the basis of our legitimate interests or the legitimate interests of third parties, in accordance with this policy. When processing data under legitimate interests, we take appropriate steps to protect your rights. Our legitimate interests may include commercial and marketing activities. If processing is based on your consent, you may withdraw it at any time by following the instructions related to the consent you have given.
4. How we collect your data
Most of the data we process is information you provide voluntarily. In some cases, however, we process personal data derived from other information you have provided, data collected during our interactions, or personal data received from third parties.
5. Sharing your information
We process your personal data locally within Poland. However, certain business activities may be carried out in the future more efficiently through processing or consolidating information in specialised or centralised databases or systems. This may involve subcontractors we work with now or may use in the future. As a result, some of your data may be transferred to other entities. Each partner entrusted with processing your data will do so on the basis of a data processing agreement, legal instrument or contractual necessity, and strictly within the limits defined by law.
We maintain strict internal standards for access to and processing of personal data. Only a limited group of authorised employees (IT administrators, sales staff, production and warehouse managers, accounting or HR personnel) will have access where required for their duties.
As a rule, we do not share your personal data with anyone outside FERNIKO Sp. z o.o. However, we may share data with trusted third parties performing business functions or delivering services on our behalf (contractors, suppliers, customers, drivers, couriers, postal operators, etc.). Such parties are required to ensure appropriate protection of your personal data under agreements compliant with applicable law. Data may also be shared with public authorities or courts if required by law (e.g., to prevent crime or fraud or to comply with a court order).
6. Security and data retention
FERNIKO Sp. z o.o. is committed to protecting your personal data in accordance with our internal policies, procedures and standards, ensuring protection against unauthorised access, unlawful modification, loss or destruction. Your personal data will not be stored longer than necessary for the purposes for which it was collected, including statutory retention periods and dispute resolution.
7. International data transfers
Your personal data will not be transferred to countries outside the European Economic Area where the law may not guarantee an equivalent level of data protection.
8. Your rights
You may request access, updates or corrections to your personal data at any time. You may also exercise other rights granted under applicable data protection laws, including deletion, restriction of processing, or requesting the transfer of part of your data to another organisation. You may also object to certain types of processing or withdraw your consent where processing is based on consent.

9. How we update this policy
This privacy policy enters into force on 25 May 2018 and replaces previous versions. It is subject to ongoing review, and any updates will be communicated by publishing the revised policy on our website or sending an appropriate email notification once it becomes available.
